Clean Harbors Calgary, AB is looking for a Senior Medical Program Administrator to join their safety conscious team! The Senior Medical Program Administrator is responsible for assisting with administrative functions of the Medical and Drug and Alcohol Programs. These programs include: employee/customer service, compliance, problem solving, and tracking, liaison between 3rd party partners in both Canada and US,

and reporting of medical surveillance data.

Key Responsibilities:

  • Ensuring that Health and Safety is the number one priority by complying with all safe work practices, policies, and processes and acting in a safe manner at all times;
  • Compile updated personnel listings and termination report for review by the Medical Program Manager and submits results to the medical surveillance provider;
  • Follow up to confirm terminated employees are removed from the reminder system, and user accounts are deactivated when the local scheduler leaves the company.
  • Assist with auditing the medical clearance data to ensure field personnel are being scheduled for the requisite exams for their particular job duties;
  • Compile monthly forecast reports for delinquent and/or expiring medical exams;
  • Assis in tracking employees included in the hearing conservation program to ensure re-testing is conducted and sufficient investigation of persistent hearing loss cases is done to minimize the number of standard threshold shifts;
  • Assist with compiling medical summary reports and drug/alcohol statistical data on a periodic basis (monthly and quarterly);
  • Assist with review of the random substance abuse test selection list for accuracy. Contact the local schedulers when employees have not been scheduled for the required drug screen within a reasonable amount of time;
  • Create weekly and monthly tracking logs of turnaround time from medical surveillance providers on medical exam and drug testing results. Follow up on all exams not cleared within 7 business days if “without reason”;
  • Assist with compiling and reporting safety and performance data required to complete pre-qualification bid package to potential customers;
  • Follow up with local administrative and management personnel regarding employees requiring re-testing to be medically cleared;
  • Follow up on clinic requests for additional supplies (blood and urine kits, questionnaires, etc.);
  • Assist with entering drug and alcohol testing data into third party databases as required by customers (drug screen results, background check information, etc.);
  • Assist employees with obtaining copies of their medical records;

 

 

What does it take to work for Clean Harbors?

  • Willing to travel away from home up to 10-20%;
  • High School Diploma or Equivalent required;
  • 3+ years administrative support experience required;
  • Excellent communication, writing, and interpersonal skills;
  • Ability to manage multiple tasks;
  • Oversight of secured and confidential documents;
  • Excellent organizational skills;
  • Proficiency in Windows based applications;
  • Word Processing and typing skills;
  • Working knowledge of Microsoft Office (Microsoft Word, Excel, Outlook);
  • Working knowledge of Office machines (multifunction printers);
